TO PLACE AN OUTSIDE CALL - Select a line and enter the telephone number.
TO PLACE AN INTERCOM CALL - Press the preprogrammed extension button.
TO TRANSFER A CALL TO AN EXTENSION - With the caller on the line, press the preprogrammed extension button, announce the call (optional), then hang up. (Or, press TRANSFER, enter the extension number of the person you want to transfer to, announce the call, then hang up). NOTE - To cancel the transfer and return to the original caller, press the line where the call is holding.
TO TRANSFER A CALL DIRECTLY TO VOICE MAIL-With the caller on the line, press VOICEMAIL, extension button and hang up. (Or press VOICEMAIL, TRANSFER, enter extension and hang up).
TO CONFERENCE A CALL (INTERNAL) -While connected to a call, press CONF and enter the internal extension. When the party answers, press CONF again. If party is busy or not available, press FLASH to drop.
TO PAGE - Pick up the handset and press pound (#) then zero (0). Make your announcement, press RELEASE, then hang up.
TO WHISPER PAGE - Allows you to make a private background announcement to an extension that is in use. With the caller on the line, press the extension button that is busy to activate call waiting. Then, press and hold the WHISPER PAGE button to speak. Only the person you are calling will hear you; the outside caller will not. The called party can respond by pressing FLASH, which places the outside call on hold.
CALLER ID - Stores caller ID info for the last 25 calls. Press CALLER ID button; press scroll keys to view other missed calls. To dial the caller, press REDIAL. To view the phone no., press 2. To delete, press 7. To store in your Personal Dex, press ESI-DEX. (MUST HAVE CALLER ID).
TO SCREEN LIVE CALLS - To turn on, press PROGRAM, 3 and choose option 6 - Monitor Mode. While listening to a caller leave a message, you can: 1) lift the handset to intercept the call; 2) do nothing and let the system record their message to your mailbox or 3) press MUTE which temporarily mutes your speaker while the system continues to record the message to your mailbox. To turn off, press PROGRAM, 3 and choose option 6 again.
TO PROGRAM A SPEED DIAL BUTTON – Select a blank button to program as a speed dial. Press and hold it down until you hear the prompt "this key is not programmed." Enter 9 + the telephone number, then press and hold the button again until you hear the prompt "this key is programmed as a speed dial as shown."
To call the number, press the button.
TO STORE A PERSONAL SPEED DIAL-Press ESI-DEX, choose PER for your Personal dex. Press NEW. Using the keypad, enter the name (# after each letter), press # when finished, then enter the phone number (9+ telephone number). Press # when finished. To delete a stored number, recall the name then press *.
TO CALL A SPEED DIAL NUMBER – Press the ESI-DEX button, choose PER for your Personal dex. Press the dial pad key corresponding to the first letter of the desired name. When the name appears, select DIAL to automatically dial the number.
TO CALL FORWARD – Press CFWD and then press an extension button (or enter an extension) to forward your calls to that extension. To cancel, press CFWD again.
TO CHANGE RING VOLUME OR TONE - Press PROGRAM, press 4
VOICEMAIL INSTRUCTIONS:
TO RECORD A PERSONAL GREETING - Press PROGRAM, press 1
Record Greeting #1 as your “in office” greeting and Greeting #2 as your “out of office” greeting. Select the greeting by pressing the button.
TO CREATE A PASSWORD - Press PROGRAM, press 5, then option 1
TO ACTIVATE A PASSWORD - Press PROGRAM, press 5 then option 4
TO RETRIEVE MESSAGES-Press the VOICEMAIL button and enter your password.
GUEST MAILBOX USERS (from any phone)
TO RETRIEVE MESSAGES -Press VOICEMAIL, (*) , enter Mailbox Number and password
TO RECORD A GREETING - Press PROGRAM, VOICEMAIL, (*) , enter mailbox number and password
TO RETRIEVE MESSAGES REMOTELY – Dial _____________; at the greeting, press (*) and enter the mailbox number or, if someone answers, have them transfer you to voicemail by pressing VOICEMAIL and hanging up. At the greeting, enter (*) and the mailbox number.
TO TRANSFER A USER TO THEIR MAILBOX – Press VOICEMAIL and hang up. The user will enter (*) and their mailbox number.
EXTENSION/MAILBOX LIST:
PROGRAM – Accesses programming menus
VOLUME CONTROLS - Adjusts the speaker volume and the handset volume.
ESI-DEX- Stores speed dial numbers (like a Rolodex).
HELP – Access to verbal user guide and tutorial
RECORD-During a conversation, press this button to record your conversation into your voice mailbox
VOICEMAIL – Press to retrieve new voice mail messages.
PICKUP (*) – Used to answer another ringing phone.
PAGE (#)– Used to page through the phone speakers.
CONF – Used to make internal conference calls.
TRANSFER – Used to transfer callers to an internal extension.
HOLD – Press this key to put a call on regular hold. After __minutes the call will ring back. To put a call on exclusive hold, press HOLD for at least one second.
FLASH – Used to transfer callers to an external number (must have Centrex).
CFWD – Used to temporarily forward calls to another extension.
MUTE/DND – Mute & Do Not Disturb-While idle press to direct all calls to VM. Press while busy to deactivate (mute) your microphone
RELEASE – Press to disconnect from a call.
REDIAL- Automatically redials the last number you dialed
SPEAKER – Indicates when you are using the speaker; allows for hands-free conversation.
